The 23rd St. Petersburg International Economic Forum

The 23rd Saint Petersburg International Economic Forum, a unique global event for economy and businesses, took place in St. Petersburg on June 5–8, 2019. SPIEF was first organized in 1997, and starting in 2006 it gained the support and patronage of the President of the Russian Federation

Over the years, the Forum has become an important global platform for communication between representatives of large businesses, and discussion of key economic issues facing Russia, developing markets and the world as a whole.

The event organizers implemented the EMS1 software, which proved invaluable by automating multiple key processes on all stages of organization of such a large-scale event. To achieve the goals set forth by the organizers, EMS1 specialists incorporated more than 80 software plugins, some of which were developed specifically for the needs of SPIEF 2019.

The incorporation of the EMS1 software into the process facilitated effective processing of participant data during preparations. The automated bulk mailing capabilities for invitations and notifications provided for timely notification of participants about upcoming events. In total, more than 1,300,000 letters were sent via the automated mailing plugin. 

EMS1 also provided a tool for automated drafting of contracts for participation in the event. Overall, 75 types of contracts were created for the Forum, and 6,185 contracts were concluded automatically.

To issue and print out more than 52,000 badges, 103 workplaces were set up across 10 locations in Moscow and Saint Petersburg; special accreditation centers were set up, along with accreditation desks in hotels, airports and railway stations. 

The event venue had more than 150 access control devices with RFID technology: namely, 8 outdoor and 69 indoor checkpoints, 27 turnstiles, 45 handheld devices and 4 gates. Throughout the event, the access control system registered more than 607,000 entries through automated access control checkpoints. 

During the Forum, EMS1 was used to set up a fully functional system to control access of vehicles to the event venue. All the accredited vehicles were provided with vehicle passes and radio-frequency identification tags.

The accreditation desks issued more than 7,000 vehicle passes, and the total number of vehicle entries that were processed with the help of RFID tags during the event was 22,713.
