2019 Eastern Economic Forum, Vladivostok

The Eastern Economic Forum took place in Vladivostok on September 4–6, 2019. The goal of this event, which has taken place annually since 2015, is to discuss and create opportunities for the development of the Far East region, and strengthen and expand international cooperation in the region. As part of the Forum, a number of conferences on the development of economy, culture, sports, charity work and healthcare were held. The event welcomed a great number of participants from Russia and across the globe, including representatives of major businesses and government officials.

EMS1 Event Management System was used to resolve a multitude of issues that arose as part of the organizational processes and in the course of the event itself. Building on the experience of the last year’s event, 4 additional modules were developed specifically for the Forum. Overall, 63 modules were implemented; these were used to store relevant data about the participants, send out newsletters and notifications, control access to the venues and various other purposes.

EMS1 was successfully used to handle the large number of attendees and participants. Throughout the three days of the Forum, the System handled:

  • 242,177 entries through access checkpoints (with 218,703 via stationary devices and 23,474 via mobile devices);
  • 3596 vehicle passes;
  • registration of 1485 vehicle entries with portable devices;
  • 71 access checkpoints, including outdoor and handheld devices, turnstiles and indoor checkpoints;
  • conclusion of 2183 contracts;
  • 286,532 automated emails with information for Forum participants.

As a result, EMS1 was instrumental in automating key organizational tasks, optimizing time and resources, and simplifying the organization of a large-scale event on an international scale.
