The 5th International Arctic Forum

On April 9–10, 2019, the 5th Arctic: Territory of Dialogue International Arctic Forum took place in Saint Petersburg’s EXPOFORUM venue; the EMS1 software was used by the organizers to ensure the event was a success.

The Forum is a key platform for discussion of important social and economic issues of the Arctic region, and a way to develop multilateral mechanisms on different levels for cooperation and effective development of the vast resources of the Arctic.

The event organizers implemented the EMS1 software, which proved invaluable by automating multiple key processes on the preparation stage.

More than 56 software plugins were used by specialists on the EMS1 team to assure success and efficiency of the event.

The automated mailing module that was used for the event allowed to inform participants and attendees about upcoming events in a timely manner via notifications and messages. In total, more than 118,000 messages were sent with the help of the automated bulk mailing plugin. 

EMS1 also proved indispensable when automatically drafting contracts for the event participation. Overall, 45 types of contracts were created for the Forum, and 490 contracts were concluded automatically with the help of the software.

To issue and print out more than 14,000 badges, 30 workplaces were set up across 2 locations in St. Petersburg and Moscow.  

The event venue had more than 10 access control devices and 30 indoor checkpoints based on RFID technology. Throughout the event, the access control system registered more than 59,000 entries through automated access control checkpoints.
